Hi all!
Thanks for joining the group and for willing to help in organising next
years Ubucon. :)
My blog post didn't have much details, so here are the current plannings:
## Overall plan
The Ubucon will be a three days event (okay, it's more an 2,5 days
event). Starting on friday evening with an social event. Saturday and
Sunday will be the "normal" days with talks, workshops etc. On Saturday
evening there will be a second social event, probably on another place
nearby.
We're also trying to have the lowest possible entrance fee. The price
includes catering and drinks. These were mostly bread roll with
different fillings (cheese, ham, salami, etc.). In the last years the
entrance fee was 10€, which didn't fully covered our costs. This year we
will have an fee of 15€.
## The place
We do have two options where the Ubucon Eu can take place. This is the
University of Duisburg/Essen[1] and the second place is the
"Unperfekthaus" [2]. Both locations are in the town "Essen". Jonathan
(who isn't on this mailing list yet) lives in Essen and is currently
talking with both places about more details.
While the University is a normal University, the "Unperfekthaus" is a
special place. It's a fancy and crazy place with lots of stuff to
explore in there. You can click through there webpage to see, how it
looks like.
We're currently working out the best possible place. The biggest problem
is (obviously) the money. The university wants roughly 5000€ for a
couple of rooms. We do have the possibility to lower the price, so we
may get the rooms for free! Anyway we still need to organise the food.
The second option, the Unperfekthaus, is more expensive, but has a few
advantages. The price will be 25€ per person, for two days it would be
50€. This includes catering (as of a buffet) and soft drinks! We can use
a couple of rooms and we have enough space for 200 people. While every
visitor can also see all the other fancy rooms (believe me, it's
interesting ;) ), the house isn't fully reserved for us alone, so there
might be other people, who are walking around. The good thing here is,
that we do not have to organise the catering (less work!) and also the
entrance fee will be collected by someone who works for the
Unperfekthaus (less work²!).
I personally like the Unperfekthaus, because it's a really nice place,
it's very interesting, because you can see lots of other stuff (which
are not related to computers) and it's a cool location to hang out.
Anyway, when we do get rooms at the university for free, this might the
better and cheaper option.
## The money
short: We need money!
long: If we do take the Unperfekthaus as the location, we'll need a lot
of money. We can get quiet a big amount from the Ubuntu Community
Donations I hope (they're giving us 1500€ for this years Ubucon DE).
Anyway more sponsors would be better. Otherwise the entrance fee needs
to be higher.
We also thought about different pricings. So people who have more money
can pay 50€ or more to cover the cost for students, who don't have that
much money.
## Talks and workshops
The Ubucon Europe will be focused on englisch talks and workshops, but
we're also planning to allow german talks, because we don't think there
will be many people from other countries who are joining. (I only got
one reply to my blogpost from someone.) We'll have to see sometime next
year, how many people actually want to give talks in english. But that's
a topic we can discuss later on.
## The website
We don't have a website yet. We did register ubucon.eu, which doesn't
have any content yet (well, only the haproxy site). At our German site
(ubucon.de) we use Drupal. I think we must not stick to drupal, we can
also use another CMS. Is anybody willing to help here? E.g. I personally
like the webpage of Europython a lot more
(https://ep2014.europython.eu/). Hosting the page isn't a problem, we
have sysadmins who also work on our servers for the other german pages
(like ubuntuusers.de)
## Advertising
We do need a lot of advertising on all the other european locos. So
hopefully we will have many attendees from different countries! :)
## Team
We're atleast four people from Germany. Torsten (toddy), Dominik (Dee),
myself (svij) and Jonathan.
